EPMS suggests that in system installations with more than 1 user that a network directory be established. this network directory can used to store assets and files that will be available to all users of the system.
These directories could include;
Updates
Used for the Automatic Update feature that allows users the option to update from a common source file when logging in.
Reports
A common location where all Enterprise Eclipse Crystal Report (.rpt) files are stored.
Customers
Customer assets, for example scanned Credit Applications and placed in Customer subdirectories.
Customer Images (customers/defaults)
Vendors
Creates a common place where quotes and other documents relating to company vendors can be stored.
Jobs
A location that will store the hierarchy of jobs directories that can be created with the Folders Utility.
Images
Images can be associated with various type of database records for example; Vendor Quotes, Inventory Items, Customers, etc. Images can also be associated to jobs such as proofs or artwork files.
Purchase Orders, Inventory Items, Customer Images
Because these images may not be associated to a specific job there may not be a directory automatically created so it is advised to create directories specific for those situations. For example; create a directory for each Vendors where you can store quotes. Than link the files to the estimate using the Images button on the Estimate. That way the files are available throughout the system to all users.
Job Related images
Job related images may be stored in a subdirectory in the JOBS folder. Place the image file here and then link it to the specific job.
