Users with the EPMS Accounts Payable module, when entering a GL code on a line item, must use a valid GL Posting Account or leave the field blank.
The Enterprise system will not automatically close (i.e. “Post”) a purchase order after items have been received. Rather, a user (with proper rights) will
be required to manually post the PO. The act of closing or posting will move the PO from the "Open PO’s" file to the "PO History" file. This action will
also set a flag indicating that the payable is ready to be transferred to an accounting application (assuming that the user is not using the EPMS Accounts
Payable module and the PO has not previously been posted).
The PO may be posted using the "Post PO" button provided on the "Receipts for PO Number" screen, as follows:
On the main "Purchasing" screen, highlight a PO in the "OpenPO’s" file for posting.
Click the Receipts toolbar icon (or menu option File/Receive).
Click the Post PO button and the PO will be immediately posted to the "PO History" file. The system will also set a flag indicating that the
payable is ready for transfer to an accounting application.
Note:
The system includes an option that may restrict a user from posting a PO. If option: “Restrict from Posting PO’s” (Utilities/User Manager/Miscellaneous) is set for a specific user, then that user will not be able to post purchase orders, and the Post PO button on the Receipts screen will be disabled).
